All bookings are subject to confirmation. Once your booking is confirmed, you will receive a confirmation email containing details of your booking and applicable cancellation terms.

3.2 Non-Refundable Bookings

Some bookings may be marked as "non-refundable" or "non-cancellable." These bookings cannot be cancelled or modified, and no refund will be provided in case of cancellation.

For services provided by third parties (such as airlines, hotels, or local tour operators), the cancellation policy of the specific provider may apply. These policies will be communicated to you during the booking process.

4. Specific Cancellation Terms by Service Type

4.1 Hotel Bookings

Cancellation policies for hotel bookings vary by property and rate type. Generally, the following terms apply:

  • Free cancellation period: Many hotel bookings can be cancelled free of charge if cancelled within the specified free cancellation period (typically 24-72 hours before check-in).
  • Late cancellation: Cancellations made after the free cancellation period may incur a fee, typically equivalent to one night's stay or a percentage of the total booking value.
  • No-show: If you fail to check in on the scheduled arrival date without prior notice, the entire booking amount may be charged.

4.2 Flight Bookings

Flight cancellation policies are determined by the airline and fare type. Generally:

  • Economy class tickets: Most economy tickets are non-refundable or subject to significant cancellation fees.
  • Business/First class tickets: May offer more flexible cancellation terms.
  • Service fee: In addition to any airline-imposed fees, Akay Travel Service may charge a service fee for processing flight cancellations.

4.3 Package Tours and Excursions

For package tours and excursions, the following cancellation terms typically apply:

  • 30+ days before departure: 10% of the total package price
  • 15-29 days before departure: 30% of the total package price
  • 7-14 days before departure: 50% of the total package price
  • 3-6 days before departure: 75% of the total package price
  • Less than 3 days before departure: 100% of the total package price (no refund)

4.4 Transportation Services

For private transfers, car rentals, and other transportation services:

  • 48+ hours before service: Full refund
  • 24-48 hours before service: 50% refund
  • Less than 24 hours before service: No refund

5. How to Cancel or Modify a Booking

To cancel or modify a booking, you may use one of the following methods:

  • Online: Log in to your account on our website and navigate to "My Bookings" to cancel or modify your reservation.
  • Email: Send a cancellation request to bookings@transferforme.com, including your booking reference number and full name.

Please note that the cancellation is only effective once confirmed by Akay Travel Service in writing.

6. Refund Process

6.1 Refund Timeline

If you are entitled to a refund, the processing time will depend on your payment method:

  • Credit/Debit Card payments: Refunds typically take 7-14 business days to appear on your statement.
  • Bank transfers: Refunds typically take 10-20 business days to process.

6.2 Refund Method

Refunds will be issued using the same payment method used for the original booking. For example, if you paid by credit card, the refund will be credited back to the same card.

6.3 Partial Refunds

In some cases, only a partial refund may be issued, depending on the cancellation terms and timing of your cancellation request.

7. Changes and Modifications

7.1 Modification Fees

Changes to existing bookings (such as dates, accommodation type, or traveler information) may incur modification fees. These fees vary depending on the service provider and the nature of the change.

7.2 Price Adjustments

If a modification results in a price difference, you will be required to pay the additional amount or, if applicable, receive a refund for the difference.

7.3 Name Changes

Name changes on bookings may be subject to specific fees and conditions, particularly for flight bookings where airlines often charge substantial fees for name changes or may not permit them at all.

8. Special Circumstances

8.1 Force Majeure

In the event of force majeure, Akay Travel Service reserves the right to modify the cancellation policy. We will make reasonable efforts to provide alternatives or more flexible cancellation terms when possible.

8.2 Medical Emergencies

In case of serious illness or injury preventing travel, we may offer more flexible cancellation terms upon presentation of valid medical documentation. This is assessed on a case-by-case basis and is subject to the policies of our service providers.

8.3 Travel Advisories

If an official government travel advisory is issued against traveling to your destination after you have made your booking, we will work with our partners to provide the most flexible cancellation terms possible.

9. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance that includes cancellation coverage. Travel insurance can provide financial protection in case you need to cancel your trip due to covered reasons such as illness, injury, or other unexpected events.

Akay Travel Service offers travel insurance options during the booking process, or you may purchase insurance from a provider of your choice.

We may update this Cancellation Policy from time to time to reflect changes in our business practices or legal requirements.
